AI Concierge · From $1,200/month

An AI Consultant on Retainer for Small Business

You don’t need another AI subscription. You need someone who knows your business, answers when you’re stuck, and sits down with you twice a month to fix the workflows that eat your week. That’s the AI Concierge: an AI consultant on retainer for small business owners — without the salary, the agency contract, or the guesswork.

01The relationship

The problem nobody has time for

New AI tools ship every week. You’ve probably tried a few. Maybe someone on your team opened a ChatGPT account, used it twice, and went back to doing everything by hand — because nobody had time to figure out how it actually fits your business.

Hiring doesn’t solve this at your size. An AI-literate operations hire runs six figures. Agencies want to sell you a big build before they understand your business. And doing it yourself means burning your highest-value hours learning tools instead of running the company.

What actually works is steady, expert help applied to your real workflows, a little at a time. That’s what this retainer is built to deliver.

What the AI Concierge is

A done-with-you retainer with three parts:

  • Two 45-minute working calls per month. Not status meetings. We share a screen, open your actual workflows — your inbox, your estimating spreadsheet, your intake forms — and build improvements live. You leave every call with something working.
  • Unlimited async messaging. Stuck between calls? Send the question. You get a substantive answer within 12 business hours.
  • A standing plan. Every engagement runs the same loop: map, optimize, automate. You always know what we’re working on and why.

This is not a course, a newsletter, or a chatbot. It’s a working relationship with one person who is accountable for your results.

Your first session: foundation first

Most “AI doesn’t work for me” problems trace back to a bad setup — a blank chat window with no context about your business, so every answer is generic.

Your first session fixes that. We set up your AI workspace properly: the right accounts, your business context loaded in (services, pricing, tone, common documents), and dedicated spaces for the work you repeat every week. After that first call, every answer you get starts from your business instead of from zero. It’s the difference between a generic tool and one that sounds like it works for you — because it does.

02The working loop

The method: map, optimize, automate

  1. Map. We map where your hours actually go and pick the workflow with the biggest time drain — usually something you touch daily and dread weekly.
  2. Optimize. We rebuild that workflow using off-the-shelf tools — often ones you already pay for. No custom software, no long project.
  3. Automate. Once the improved workflow is stable, we remove you from as much of it as possible, so it runs whether you’re at your desk or not.

Then we start the loop again on the next workflow. One at a time, biggest time drain first. Over months, the reclaimed hours compound.

Who this is for

Owner-led businesses with 2–20 employees and roughly $500K–$5M in revenue. In practice, that looks like:

  • A home builder buried in bid follow-ups, selection-sheet revisions, and the same twenty subcontractor emails every week.
  • A personal-injury or immigration law firm where intake summaries, document prep, and client status updates consume paralegal hours that should go to casework. (We streamline operations — never legal judgment.)
  • A med spa where booking follow-ups, review responses, and pre- and post-care instructions all get written from scratch, every time.

These are examples, not a closed list. If you run another owner-led service business and the same workflow problems sound familiar, the Concierge may still fit.

If you’re bigger than that, you likely need implementation work, not a retainer. If you’re smaller, start with the AI Tools Assessment.

The track record behind it

I don’t have a wall of testimonials to show you — I have engineering results. At Stryker, a $20B+ medical device manufacturer, I replaced failure-prone manual data work across five departments with a single automated reporting system, eliminating 500+ hours of engineering time per year — worth an estimated $25,000+ annually. As an independent consultant, I’ve closed multiple six-figure contracts with Edwards Lifesciences, Cook Medical, and Jabil (manufacturing for Johnson & Johnson) — every one won by scoping the work, building it, and proving the value.

That’s the discipline the Concierge runs on: find the waste, fix it, measure it.

Why the roster is capped at 6

The 12-business-hour response window is a promise, not marketing copy. I can only keep it if the roster stays small — so it’s capped at six clients, period. When it’s full, you go on a waitlist, and I’ll tell you honestly how long it’s likely to be. The waitlist is a good time to complete the AI Tools Assessment, so your roadmap is ready the day a spot opens.

Pricing

The AI Concierge starts at $1,200/month, month to month. That covers both working calls, unlimited async messaging, and everything we build together — prompts, checklists, and tool configurations are yours to keep, even if you leave.

The natural entry point is the AI Tools Assessment: a $999 flat-fee review that maps your workflows and prescribes the exact tools worth using. The Concierge then executes that roadmap with you. And when the loop surfaces something bigger than a retainer should carry — a custom automation or a full process redesign — it hands off cleanly to implementation services, scoped and priced separately before any work starts.

03Questions owners ask

FAQ

What actually happens on the calls?

Real work on your real systems. We share a screen, open the workflow we’re improving, and build together — writing the prompt, configuring the tool, testing it on real examples from your business. You leave with something running, not a list of homework.

What counts as async messaging?

Anything you’d ask an in-house AI person: “How do I get this to draft in my voice?”, “Is this tool worth it?”, “This broke — what happened?” At kickoff you pick the channel — Voxer, WhatsApp, or plain text — and email always works as a fallback. Whichever way it arrives, you get a substantive reply within 12 business hours. What it isn’t: full builds by message — those go on a call or get scoped as a project.

Why cap the roster at 6?

Because the response-time promise has to be real. Six clients is the number where every message gets a thoughtful answer inside the window. A bigger roster would mean quietly slower service, and I’d rather turn work away than degrade it.

Can I cancel?

Yes — it’s month to month, no long-term contract. Give notice before your next billing date and you’re done. Everything we built stays yours.

Do I need to already use AI tools?

No. The first session sets your workspace up from scratch, properly. If you do have tools, we’ll review them — you may be paying for more than you need.

Ready to see if a spot is open?

Six spots. If one’s open, we’ll talk about your workflows before any money changes hands — and if the retainer isn’t the right fit, I’ll say so and point you to a better starting place.
